Technology Purchasing and Logistics Coordinator

Position Summary
The Technology Purchasing and Logistics Coordinator plays a vital role within the Information Resources Division (IRD). This position oversees all technology purchasing efforts within the Division and assists with technology purchases from across the University. The coordinator manages the full life-cycle of technology for IRD including ordering, delivery receiving, inventory management, and ultimately disposal. This position oversees annual efforts to renew software and hardware support contracts and leads the annual computer replacement process in accordance with UIW policy. Additionally, the coordinator must work independently with many vendors oftentimes coordinating sensitive pricing information.

Description of Job Duties
-Assist university personnel in developing specifications for technology-related requests, quotes, and proposals;
-Obtain pricing quotations from vendors and if necessary, negotiate or update quotations based on feedback;
-Develop and submit technology-related purchase requisitions through UIW purchasing processes and systems;
-Track purchase orders to complete and submit to vendors in a timely manner;
-Maintain vendor list of current and prospective vendors for common technology hardware and software; when required locate and validate new vendors;
-Oversee inventory tracking system for technology assets (computers, network equipment, audio/visual equipment, etc.) ensuring location, age, type, and other data fields are accurate and updated whenever required;
-Review delivered technology equipment against orders for accuracy, tag, and ensure tracking in UIW inventory system;
-Maintain a list of annual software and hardware support renewals in coordination with IRD VP and directors;
-Ensure timely processing of all required annual software and hardware support renewals;
-Lead annual computer refresh process to identify old computers, coordinate with users on the selection of new devices, order computers, and ensure timely hand out of new computers;
-Develop and present various reports including inventory status, recycling and disposal counts, outstanding purchase orders, and other requested reports;
-Coordinates with UIW Ettling Center to donate old equipment that is still usable and oversees recycling of non-usable equipment with third-party vendors;
-Maintain an understanding of current and emerging technologies and trends;
-Update website to provide current information related to technology purchasing;
-Maintain effective working relationships with university employees and vendors;
-Oversee see student worker activities when assigned;
-Complies with all UIW policies and guidelines;
-Maintain a positive and professional tone in all communication (i.e. email, written, and verbal);
-Perform other related duties as necessary or as assigned


Knowledge Skills and Abilities
- Basic familiarity with technology concepts and emerging trends;
- Strong attention to detail;
- Working knowledge of Microsoft Office Suite, especially proficiency in Microsoft Excel;
- Ability to work with multiple constituencies often at the same time;
- Excellent communication skills- verbal, written, and interpersonal;
- Ability to learn and keep current with changing technology landscape;
- Outstanding organizational skills and time-management skills;

Required Education
Bachelors degree in Business, Management, Information Systems Management, Accounting or related area

Required Work Experience
Five (5) or more years of experience in the following:
-Working in a purchasing role that required the use of an Enterprise Resource Planning system (i.e. Banner, WorkDay, SAP, Microsoft Dynamics, Oracle NetSuite, or others) to enter purchase requisitions, run reports, track purchase orders, and perform other tasks;
-Using Microsoft Excel to develop reports, track information, and perform other tasks;
-Experience with inventory management systems, equipment inventory systems, databases, or other methods for tracking property;
-Experience working with vendors to obtain price information, quotes, and other activities;
-Proven record that demonstrates a high degree of attention to detail and superior organization skills

Preferred Qualifications
- Ten (10) or more years of experience in a purchasing role with specific experiences purchasing technology hardware and/or software;
-Experience in a higher education or other education related environment, especially the use of the Banner ERP system;
-Strong understanding of technology equipment and concepts such as servers, wired and wireless network equipment, computer hardware, various software packages including Software as a Service (SAAS)

Work Hours
Typical workweek is Monday -Friday, 8 AM 5 PM

Physical Demands
The work is typically performed in an office, while sitting at a desk or table, or while intermittently sitting, standing, walking, bending, crouching or stooping. The position will periodically lift and move boxes up to 40 lbs.
